Gym and fitness studio apps: bookings, memberships, trainers

What a gym, studio or physio clinic app needs in India: class booking with capacity, memberships and renewals, check-in, trainer tools and owner reports.

Class booking, trainer scheduling & QR turnstile access control

The short answer

A fitness app has to do three things well: let members book and check in without friction, make renewals easy, and give trainers and owners a clear view of who is coming, who is drifting away and what needs fixing. Everything else is a nice extra.

This guide covers what a single gym, a studio chain and a physiotherapy clinic each need, using our Groundwork fitness studio and Moviva physiotherapy concepts as examples.

Do you need an app, a website, or both?

BusinessStart withAdd later
Single gymA website with plans, timings and a lead form; WhatsApp for remindersA member app once you run classes or PT packs at scale
Class-based studio or chainMember app with class booking, passes and check-inTrainer app, owner dashboard, home workouts
Physio or rehab clinicWebsite with online booking and a patient portalHome exercise videos, treatment plans, reminders
Online coachingApp or web app with plans, video and progress trackingCommunity, challenges, nutrition logs

If your members mostly walk in at any time, an app may add little. If they book classes with limited spots, an app pays for itself quickly. Our website, app or both guide helps you decide.

Class booking that fills rooms

  • Capacity per class, with a waitlist that promotes people automatically when someone cancels.
  • Cancellation rules with a cut-off, so late cancellations and no-shows don't keep others out.
  • Reminders a few hours before class, on push or WhatsApp.
  • A digital pass members show or scan at the door. Groundwork's member app combines class schedule, streaks and a digital pass.
  • Trainer and class pages with real photos, so members know what they're booking.

Memberships, renewals and payments

Renewals are where gyms quietly lose money. Make renewing easier than forgetting.

  • Plans by month, quarter and year, plus class packs and personal-training packs.
  • Membership freeze or pause for travel and illness, with clear rules.
  • Renewal reminders before expiry, and a one-tap UPI payment link.
  • Recurring payments with UPI AutoPay or card mandates for members who opt in. Our UPI guide explains mandates.
  • GST invoices and receipts generated automatically.

Check-in and attendance

Fast check-in keeps the front desk free and gives you the attendance data that predicts who might leave.

  • QR check-in at the door, from the member's app or a printed card.
  • Attendance streaks and gentle nudges when a regular stops coming.
  • Floor capacity at busy hours, so members can pick a quieter time.

Tools for trainers and owners

  • Trainer app: today's classes and roster, check-ins, member notes and progress benchmarks. Groundwork's trainer view includes all four.
  • Owner dashboard: active members, renewals due, attendance trends, class fill rates and revenue.
  • Equipment and maintenance logs, so broken machines are tracked until fixed.
  • Retention alerts: members who haven't visited in two weeks, before they decide not to renew.

Fitness data such as weight, body measurements and injuries is personal data. Ask for consent, collect only what trainers actually use, and let members see and delete it. Our DPDP checklist covers the basics.

Getting members to actually use the app

A gym app nobody opens is just a cost. Adoption depends on making the app the easiest way to do things members already do.

  • Make it the way in. If the QR pass in the app is how members check in, they will install it in the first week.
  • Move booking into the app for classes with limited spots, and stop taking bookings over WhatsApp once most members have switched.
  • Send useful notifications only: class reminders, waitlist promotions, renewal due dates. Promotional pushes every day get the app muted.
  • Help at the front desk. Staff should install and log in members on the spot during the first fortnight.
  • Reward showing up, not opening the app. Streaks and milestones tied to attendance keep members coming back to the floor.

Groundwork's member app is built around this idea: the schedule, the digital pass and the streak sit on the first screen, because those are the reasons members open it.

Mistakes to avoid

  • Launching an app with no class capacity rules, so popular slots overbook and the front desk has to turn people away.
  • Hiding membership prices behind a call. Most people compare gyms online before visiting.
  • Collecting body measurements and health details nobody uses, which adds privacy risk and no value.
  • Treating renewals as a front-desk job, when automatic reminders and payment links do it more reliably.

Running several locations

Chains and franchises need a few things a single gym doesn't, and they are easier to build in from the start than to add later.

  • Memberships that work at one location or all of them, with clear rules for each plan.
  • Schedules, trainers and capacity per location, with members able to switch between them.
  • A head-office view comparing locations on attendance, renewals and revenue, and a manager view limited to one site.
  • Shared branding with room for each location's own photos, timings and offers.

If you plan to open a second location within a year, say so in your brief. It changes how the data is structured, and changing it later costs more than planning it now.

Physiotherapy and rehab clinics

Clinics need appointment booking more than classes, and patients need a plan they can follow at home.

  • Online booking by therapist and treatment type, with no chance of double-booking a slot. Moviva handles this at the database level.
  • A patient portal with upcoming appointments, posture notes and home exercise videos, opened from a secure link without a password.
  • Therapist calendars with leave and blocked dates.
  • Reminders before each session and a simple way to reschedule.

Time and cost

A gym or studio website with plans and lead capture can be ready in a few weeks. A member app with class booking, memberships, payments and check-in, plus a trainer view and owner dashboard, usually takes six to ten weeks for a first version.

Video workouts, multiple locations and complex membership rules add time. See our fitness app page for what moves the cost, or send a brief for a fixed quote within 48 hours.

Questions people ask

Does a gym need its own app?

A single gym where members walk in at any time often does fine with a good website and WhatsApp reminders. An app pays off when you run classes with limited spots, sell class or PT packs, or have several locations. Booking, check-in and renewals in one place then save the front desk real time.

Can members pay gym fees by UPI AutoPay?

Yes, for members who opt in. UPI AutoPay and card mandates let renewals happen automatically, with a notification before each charge. Many gyms offer both: automatic renewal for regulars and a one-tap UPI payment link in a reminder for everyone else.

How long does it take to build a fitness app?

A member app with class booking, memberships, payments and QR check-in, plus a trainer view and an owner dashboard, usually takes six to ten weeks for a first version. Home workout video, multiple locations and complex membership rules add time.

What does a physiotherapy clinic need online?

Online booking by therapist and treatment that never double-books a slot, reminders before each session, and a patient portal with home exercise videos and notes. A clear website with credentials, treatments and fees helps new patients choose you. Our clinic appointment guide covers the details.
