The short answer
A billing app for a shop has one test: can it produce a correct bill faster than the shopkeeper can write one by hand, with a queue at the counter at 7 pm? Everything else — reports, stock, reminders — only matters if billing is quick.
The second test is your CA. The invoices, tax summaries and exports must be accurate enough that your accountant can file returns from them without re-entering everything. Build for the counter and the CA, and you have a product shops keep using.
Speed at the counter
- Barcode scanning and quick search by name, short code or local spelling.
- Favourites for items sold dozens of times a day.
- Quantity and weight entry that suits loose goods sold by the kilo.
- One-tap payment capture: cash, UPI, card or credit, including split payments.
- Thermal printing that works with common counter printers, plus a WhatsApp or SMS bill for customers who prefer it.
- Works when the internet drops, with bills syncing later.
Tillbook is our concept built around a five-second bill: scan, total, pay, print, done.
What a GST invoice needs
A tax invoice under GST carries specific details. Your software should fill them correctly every time, so staff never have to think about them.
| Field | What it means |
|---|---|
| Seller details | Business name, address and GSTIN |
| Invoice number and date | A unique, consecutive number in a series |
| Buyer details | Name, address and GSTIN for business buyers |
| Item lines | Description, HSN or SAC code, quantity, unit and value |
| Tax breakdown | CGST and SGST for sales within a state, IGST for sales to another state |
| Place of supply | Decides which tax applies |
| Totals | Taxable value, tax and the invoice total |
Store HSN codes and tax rates against each item in your catalogue, so the right tax lands on every line automatically. Composition scheme dealers issue a different kind of bill; the software should support the scheme your shop is registered under.
GST rules, rates, invoice formats and e-invoicing thresholds are set and updated by the government. Confirm what applies to your business with your CA before you go live, and keep the software easy to update when rules change.
E-invoicing and e-way bills
Businesses above certain turnover limits must generate e-invoices through the government's invoice registration system, and goods moving above certain values generally need an e-way bill. If either applies to you, the billing software should integrate with these systems through an authorised provider rather than leaving staff to retype invoices on a portal.
Even if they do not apply today, choose software that can add them later as you grow. Our logistics app guide covers how e-way bills fit into goods movement.
Returns and corrections need the same care. When a customer returns goods or a bill was wrong, the software should issue a credit note linked to the original invoice, never edit or delete the original. Invoice numbers must stay continuous, so a cancelled bill is marked cancelled rather than removed.
Keep an audit trail of who created, changed or cancelled each bill. It protects the owner from mistakes at the counter and makes your CA's work during returns and audits much simpler.
The credit book, done honestly
Many Indian shops give regular customers goods on credit and settle up weekly or monthly. A digital credit ledger replaces the notebook and ends arguments.
- A running balance per customer, with every bill and payment listed.
- Polite WhatsApp or SMS reminders with a UPI payment link, sent by the shop when it chooses.
- A shared statement the customer can see, so both sides agree on the balance.
- Credit limits, so staff know when to stop.
Tillbook's digital khata does exactly this, with reminders and UPI reconciliation. For messaging done properly, read WhatsApp for business apps.
Stock, reports and the end of the day
- Stock levels that update with every bill, with low-stock alerts and supplier reorder lists.
- Purchase entries with supplier GSTIN and invoice details, for input tax credit.
- End-of-day tally: cash in the drawer, UPI received, card payments and credit given, so the numbers agree before closing.
- Reports for your CA: sales and purchase registers and tax summaries, exported in formats your accountant's software accepts.
- Multi-store view for owners with more than one shop.
UPI payments are where reconciliation goes wrong most often. Match each UPI credit to a bill automatically where possible — see adding UPI payments to your app.
Dynamic UPI QR codes help here. When the counter screen or the printed bill shows a QR code with the exact amount and bill number, the payment arrives already matched to the bill. Static QR codes on the wall are simpler, but someone has to match payments by hand at closing, and that is where the day's numbers stop agreeing.
Off-the-shelf or custom billing software?
Plenty of good billing apps exist, and many small shops should simply use one. Custom software makes sense when the way you sell does not fit a standard product.
- Use off-the-shelf if you run one or two shops with standard items, a normal counter and no special pricing rules.
- Go custom if you sell by weight, length or batch with unusual units; run a chain with central pricing and stock transfers; mix retail, wholesale and credit customers at different prices; or need billing tied into your own delivery app, website or loyalty programme.
- Go custom if you are building a product for other shops — a billing app is your business, not a tool you use.
Custom billing is a real build: offline sync, printers, tax rules, reports and reconciliation all need care. Read how much an app costs in India and what an app costs after launch before you decide.
Rolling it out without stopping the counter
The riskiest day for billing software is the first one. Plan the switch so customers never notice.
- Load your item list with HSN codes, tax rates and prices before launch, and check it with your CA.
- Run the new system alongside the old one for a few days at a quiet counter.
- Train every staff member on the five things they do most: bill, return, credit, payment split and end-of-day.
- Move credit customers' opening balances in carefully, and share statements so customers can confirm them.
- Keep a printed fallback for the first week, in case of a printer or network problem.
A small, well-planned rollout builds confidence. A rushed one sends staff back to the notebook.
Languages, devices and staff
Shop staff may read Hindi, Marathi, Tamil or Gujarati better than English. Item names often exist in a local spelling. Build search and labels for that — see building apps in Indian languages.
Run on the devices shops already have: an Android phone or tablet at the counter, with a web dashboard for the owner. Give staff limited roles so only the owner can delete bills or change prices.
A focused billing app with GST invoices, credit ledger, stock and reports usually takes 8–12 weeks to build. See our GST billing app solution, and the Surat and Ludhiana pages for trading and manufacturing contexts.
Questions people ask
What should GST billing software include?
Fast counter billing with barcode scanning, GST-ready invoices with HSN codes and the right tax split, payment capture for cash, UPI, card and credit, a customer credit ledger, stock tracking, an end-of-day tally and reports your CA can file from. Offline billing matters if your internet is unreliable.
Can billing software work without internet?
It should. Bills are created and printed on the device, and sync to the cloud when the connection returns. Without offline support, a network drop at a busy time stops your counter, which is the moment shops abandon a billing app.
Do we need e-invoicing in our billing software?
Only if your business falls under the e-invoicing requirement, which depends on turnover limits set by the government. Ask your CA whether it applies. Either way, choose software that can integrate with the invoice registration system later through an authorised provider.
Can customers get their bill on WhatsApp?
Yes. Many shops send a digital bill on WhatsApp or SMS instead of, or as well as, a printed one. It saves paper, and the customer has a record. Credit reminders with a UPI link can go the same way, sent only when the shop chooses.
Will my CA be able to use the data?
That should be a requirement from day one. Good billing software exports sales and purchase registers and tax summaries in formats common accounting software accepts. Show your CA a sample export before you go live and adjust it to what they need.
